Staying organized is key when managing authorizations. One way to keep organized is to use comment authorizations. These disabled authorizations are a quick way to describe and categorize. This article covers what comment authorizations are, common use cases, authorization number considerations, and how to make one.
About Comment Authorizations
A comment authorization is a disabled authorization with:
- an authorization number (required),
- a description (optional, but recommended),
- up to 200 characters of Commentary (optional).
🛈 Note: The enabled checkbox should always be UNCHECKED to keep comment authorizations from interfering/interacting with other authorizaitons.
Common Uses
Comment authorizations are commonly positioned as the first authorization listed within a policy. Many users opt for short or abbreviated policy names, which provide limited context. Adding a comment authorization allows additional details to be entered. A comment authorization can:
- serve as an informational placeholder for a policy that is still under development;
- provide a heading for a list of authorizations within a policy; and
- demark types of authorizations within an authorization table.
💡Tip: Comment authorizations are also helpful for organizing manually added Group and Patient authorizations.
Authorization Number Considerations
Like all authorizations, comment authorizations must have an authorization number (A/N) assigned. The A/N given to a comment authorization needs to be at the lower end of the A/N range to ensure it populates at the top of the list of authorizations. Use your A/N hierarchy to guide this decision.
For example:
- If 80000-000 to 80000-999 has been designated for Global authorizations (plan defaults), assign the lowest number in the range to the comment authorization (i.e., 80000-000).
- Divide a range of numbers into sets of 100. Reserve the lowest number in each set for comment authorizations. For the range 36000-000 to 36000-999 the first number of each set would be 360000-000, 36000-100, 36000-200, and so on.
The authorization table below illustrates the second bullet point described above. In the table, comment authorizations are greyed out. The checkmark in the first column indicates enabled authorizations.

How to Create a Comment Authorization
Comment authorizations can be added to a Policy and at the Group or Global authorization levels to better organize and manage authorizations.
Here’s how to add one to an existing Policy:
- In the left sidebar menu of the Authorization System startup screen, click List under Policy.
- A list of options will display above a table with all authorizations in the policy. Make note of the A/Ns assigned to the authorizations in the policy.
- Click Add Authorization to Policy. The authorization form will display.
- Enter the A/N in the field provided. The A/N should be the lowest number in the set of authorizations so the comment authorization populates at the top of the list.
- UNCHECK the ENABLED checkbox.

- Type a description in the Description field.
- Scroll down and document any additional information in the Commentary field (optional).
- Click Add at the bottom of the page.
- You have added a comment authorization to an existing policy. A table listing all authorizations in the policy will display on the screen. The comment authorization should be greyed out and listed first.
🛈 Note: The comment authorization should be grayed out in the table to indicate it is disabled. If it is NOT grayed out: Click Edit. The Edit form will display. Uncheck the Enabled checkbox. Scroll to the bottom of the page and click Update.
